BID WRITING CONSULTANTS

Bid writing consultants, or software?

If you are pricing external bid support, this is the comparison worth making first.

01

What consultants are good at

Judgement, and surge capacity. A good bid consultant brings pattern recognition from hundreds of submissions, tells you when a pursuit is not worth chasing, and can be brought in when the pipeline spikes without a permanent commitment.

Blue Edge has done that work for twenty years. We are not going to argue the value is not real.

02

Where the spend becomes uncomfortable

It scales with volume. Every additional tender is another engagement, and the cost lands whether the bid is won or lost.

“we’re spending a load of money on externals at the moment… one good bid, right, you’re paying for per annum.” — Work-winning director, highways contractor

“something else we do because we’re under pressure. We need to hire bid writers because of the time commitment. Is there a saving, what is the saving there in terms of bid writing time commitment?” — Head of business unit, civils contractor

The second quote is the honest version of the question. It is being asked because the current answer is expensive and the volume is not falling.

The comparison

External consultants Blue Edge AI
Cost behaviour Scales with every tender Fixed, regardless of volume
Availability Booked in advance Available when the tender lands
Knows your business Learns it each engagement Draws on your own past submissions
Retains what it learns Leaves when the engagement ends Stays in the business
Judgement on strategy and win themes Yes — this is what they are for No. That remains yours
Checks the response against the client’s spec Depends on time available Every question, every time

04

The honest position

This is not an argument for having no external support. It is an argument about what you are paying external support to do.

If consultants are spending their time reading document packs, hunting for evidence in your own shared drives and checking answers against a specification, that is expensive work of a kind that does not require judgement. If they are shaping strategy, sharpening win themes and telling you which pursuits to drop, that is what they are worth paying for.

Most engagements are a mix. The question is the ratio.

“The last four projects we’ve won 100% on quality using this.” — Head of technology and business improvement, multi-division civils contractor

05

Do the arithmetic yourself

Take your external bid spend for the last twelve months. Divide it by the number of tenders it covered. Then ask how many of those hours went on reading, searching and checking rather than on judgement.

That number is the one worth comparing against a licence.
